Do you want to become the ideal client in event organization?
We all like to complain when we feel that a service has not been delivered according to our expectations. However, we often forget that it is, in fact, a two-way relationship, even when discussing the right approach to event organization.
How can we become the ideal client throughout the process? Not just because it is the right thing to do, but primarily because the right approach will yield the best results. Here are some factors that can significantly simplify the entire process.
Leave arrogance at the door
It still happens that some individuals enter the process from a position of power, especially in terms of money and influence. Such clients often forget that they are the ones facing a challenge or problem. This approach can cause tension and misunderstandings right from the start. That’s why the right attitude and mutual respect between the client and the organizer are essential from the very beginning. It is crucial for the client to clearly describe their wishes or the issue they need the event specialist to resolve. Only in this way can the organizer provide appropriate assistance.
Prepare the best possible starting points
At this stage, a concrete plan or scenario outlining all key elements is always welcome. These include the goals and expectations that the event should achieve.
Unfortunately, even in event organization, people tend to compare apples and oranges. For instance, we often hear statements like: "A competing company was cheaper," but such clients overlook the fact that the initial conditions for organizing the event were not the same.
Before you embark on organizing an event, you must carefully consider your goals, expectations, and scenarios. If your instructions are unclear or incorrect, the results will not be optimal. Of course, there are also significant differences between various companies and industries. This factor can play a crucial role as it significantly impacts the chosen strategy.
The age factor
People belong to different generations and think in different ways. Sometimes, the person responsible for organizing an event within a company is either very young or somewhat older. In both cases, there may be gaps when writing the optimal event scenario or plan.
Be ready for a lot of questions
Many other factors need to be considered. Clients often complain that event organizers ask too many questions and are too meticulous. However, we do this with only one goal in mind: to obtain as much information as possible, allowing us to create the most suitable proposal.
This enables us to establish a solid foundation for a fruitful collaboration. With the right questions, we can set the right guidelines together. Effective mutual communication is what leads to the desired results. It is, therefore, a two-way relationship.
Be patient
From my experience, the best collaborations are those where both parties build a strong relationship and understand each other well. Establishing such a relationship usually takes time. Short-term collaborations, in most cases, do not yield the best results.
Don't forget that every event is just part of a broader marketing strategy I am not entirely convinced that all marketing professionals understand that events are part of a broader marketing mosaic. Sometimes, a client approaches us saying, "We heard it is recommended to organize an event," but they have no clear idea of the event’s ultimate goal. Who is the target audience? What is the final objective? In such cases, it is our job to help them find answers to these questions so that we can deliver the best possible result.
Keep the timeline in mind
If you are considering organizing an event, you must also consider the timeline. If you are planning a smaller event, we can help organize it within a few days. However, if you have a conference with a larger number of participants in mind, the process will take considerably longer. In such cases, the preparation process can take anywhere from 6 to 9 months. If you prepare for these challenges in advance, the results will reflect that preparation.
